Our Front Office Administrative Assistant is the friendly face our associates and customers look forward to seeing when they arrive at Prime. He or she makes the important first impression on all who visit or call the company; therefore, this position is essential to the success of Prime Communications and every associate who works here.

Responsibilities of this role include greeting visitors and associates, maintaining our front office, and supporting the executive team and associates through a range of key tasks, impacting the entire company and our customers on a daily basis.

Primary Responsibilities:

  • Greeting associates/customers/guests in the lobby
  • Answering and properly routing incoming phone calls
  • Filing invoices, checks, and other documents
  • Maintaining the office phone list
  • Handling the mail (incoming and outgoing), which includes making trips to the post office
  • Assist with accounts payable and accounts receivable
  • Maintaining and ordering office and break/conference room supplies; keeping the supplies closet neat/organized
  • Ordering associates’ business cards
  • Keeping the reception area, conference rooms, and training room neat and well-stocked
  • Scheduling meetings for the conference rooms 
  • Reserving cars for the sales team
  • Running errands as requested (primarily in support of the executive team)
  • Participating in team building/morale/awards events 
  • Assisting business units with varied administrative tasks
  • Fulfilling other duties as assigned


  • Ability to multi-task
  • Must be detail oriented
  • Should be a self-starter who find projects to work on during slow times
  • Must possess good PC skills (MS Office Suite primarily)
  • Must be able to work independently and prioritize responsibilities
  • Punctuality and regular attendance is essential in this role
  • A professional business casual appearance is necessary, along with professional communication skills
  • A valid driver’s license and clean driving record are needed
